Appointment Setter Setup

The AI Appointment Setter activates after a positive reply and attempts to book a meeting on the assigned rep's calendar — without any manual intervention required.

Prerequisites

• Calendar integration connected (Google Calendar or Outlook)
• AI Appointment Setter enabled on the campaign or sequence
• Positive reply classifier active (on by default)

Connecting your calendar

Settings → Integrations → Calendar. Connect Google Calendar or Microsoft Outlook via OAuth. Select which calendar to use for availability and bookings. Set buffer times between meetings.

How the Appointment Setter works

1. Contact replies positively to a sequence step
2. AI Appointment Setter detects the positive reply
3. System sends a reply email from the rep's address suggesting 2–3 specific time slots based on calendar availability
4. Contact confirms a time
5. Platform creates the calendar event for both parties and sends confirmation emails
6. appointment.scheduled webhook fires to your CRM and any connected tools

Customizing Appointment Setter messages

Sequences → [Sequence] → Appointment Setter → Configure. Customize: the offer copy (what you're booking — demo, call, walkthrough), the time slot suggestion text, the confirmation email content, and the calendar event description.
